Description

We are seeking an experienced Executive Assistant in Costa Rica to support our executive leadership team. As a strategic partner, you will drive efficiency, foster collaboration, and enable our senior leaders to scale their impact. You will work closely with executives in Costa Rica and the United States, managing complex calendars, orchestrating high-impact meetings and events, and serving as a trusted liaison with internal and external stakeholders.

Key responsibilities include:

  • Managing and optimizing complex, multi-time zone calendars to ensure alignment with business priorities and anticipate potential conflicts.
  • Planning, coordinating, and executing executive travel, team offsites, and high-visibility events, ensuring compliance with company policies and budget.
  • Acting as the primary point of contact for all meeting and event requests, maintaining a high standard of service and responsiveness.
  • Building and maintaining accurate records of meetings, events, and requests, ensuring timely follow-up and closure.
  • Preparing and reviewing briefing materials, agendas, and follow-up documentation for executive meetings, ensuring leaders are well-prepared and informed.
  • Providing coverage and support for other executive staff as needed, demonstrating flexibility and a team-first mindset.
  • Handling highly confidential information with the utmost discretion and integrity.

Requirements include:

  • 5+ years of executive administrative experience, preferably in a global technology or software organization.
  • Demonstrated ability to exercise sound judgment and make independent decisions in ambiguous or high-stakes situations.
  • Advanced calendar management skills, with a proven track record of supporting multiple executives across time zones.
  • Exceptional organizational, time-management, and prioritization skills, with the ability to manage multiple complex projects simultaneously.
  • Strong relationship management and communication skills, with the ability to influence and collaborate at all levels.
  • Experience planning and executing large-scale meetings, events, and travel logistics, including budget management and vendor coordination.
  • High level of discretion in handling sensitive information and confidential matters.
  • Proactive, solution-oriented, and adaptable to changing priorities and environments.
  • Willingness to adjust working hours to support executives in different time zones (primarily US).
  • Occasional travel to the United States is required.
