As an Executive Assistant, Ford Pro, you will be a valued member of the team and should be open to learning about the business beyond the day-to-day activities of the role. The successful candidate should have exceptional communication skills – both verbally and written – complete all tasks in a timely manner, understand how to prioritize, and be a problem solver.

Responsibilities

  • Identify the preferred method of support for the executive and accommodate their working style
  • Manage the executive's calendar and correspondence; resolve scheduling conflicts and keep the executive informed of changes and updates
  • Maintain, organize, and archive Outlook calendar, communications, and folders
  • Sort, screen, and distribute incoming and outgoing mail for the executive
  • Optimize travel arrangements based on the executive's travel needs and preferences
  • Assist the executive with preparing for meetings, including preparing materials and obtaining materials in advance
  • Screen incoming calls and respond to emails as needed
  • Coordinate and manage meetings and events
  • Prepare, update, and organize information for inclusion in reports, correspondence, and presentations
  • Participate as an adjunct member of the executive's leadership team
  • Assist with special projects as needed

Qualifications

  • High school diploma or GED
  • 3+ years of experience as an executive assistant or project manager
  • 3+ years of Microsoft software experience (e.g., Outlook, SharePoint, OneDrive, PowerPoint, Word, Excel)
