Job Overview

As Arc's Recruiting Operations Coordinator, you will be the administrative and operational backbone of our recruiting function. This involves cultivating a world-class candidate experience, maintaining an organized and accurate Applicant Tracking System (ATS), ensuring smooth candidate progression through the pipeline, and supporting the talent team with scheduling, coordination, and reporting across all active roles.

The role is based at our Los Angeles headquarters and reports to the Senior Talent Acquisition Partner. A successful candidate will be someone who works quickly, takes ownership, and pays close attention to detail.

Responsibilities

  • Coordinate end-to-end interview scheduling and logistics for candidates, hiring teams, and stakeholders.
  • Deliver a high-quality candidate experience through clear communication and effective process management.
  • Manage recruiting systems, workflows, and data integrity within the ATS.
  • Create recruiting reports, dashboards, and metrics to inform hiring decisions.
  • Collaborate with recruiters, hiring managers, and cross-functional teams to improve recruiting effectiveness.
  • Identify process inefficiencies and implement scalable solutions to enhance speed, quality, and candidate experience.
  • Lead recruiting operations projects, system enhancements, and automation initiatives to increase efficiency.
  • Support onboarding, recruiting programs, and talent initiatives while promoting operational excellence and continuous improvement.

Minimum Qualifications

  • Bachelor's Degree or 1–2+ years of experience in recruiting coordination, HR operations, or a related administrative role.
  • Experience managing complex calendars and scheduling with attention to detail and accuracy.
  • Strong written and verbal communication skills to represent Arc professionally to candidates and internal stakeholders.
  • Ability to work comfortably with ambiguity and manage multiple priorities in a fast-paced environment.
  • Discretion when handling sensitive candidate and employee information.
  • Capability to maintain a fast but sustainable pace.

Bonus Qualifications

  • Familiarity with Greenhouse ATS or similar recruiting platforms.
  • Experience in a startup or high-growth environment where processes are still being developed.
  • Experience with the ethical use of AI tools and systems to build process efficiencies.
