Description
As the Executive Assistant, you will serve as a trusted partner and operational backbone supporting two senior leaders responsible for Global EA SPORTS Publishing and Brand Marketing and Communications. You will anticipate needs, drive focus, and ensure seamless execution of daily operations across a complex global business. The position is based at our Redwood City headquarters with a hybrid work model and expected to be in office T, W, Th weekly with flexibility to support 5 days in office as well as occasional travel as needed.
Responsibilities:
- Calendar & Meeting Management: Maintain full ownership of executive calendars, scheduling and confirming meetings, preparing agendas, securing meeting spaces, and ensuring the Executives are well-prepared.
- Executive Prioritization: Maintain a rolling priority list with executives, proactively identify conflicts, risks, or overload and course correct early to ensure focus time.
- Travel Coordination: Arrange complex domestic and international travel, including visas, itineraries, accommodations, and logistics.
- Event Management: Collaborate in end-to-end preparation for industry events, partner summits, media moments, investor forums, and internal team meetings and events ensuring briefing materials are complete, as well as all operational logistics are covered.
- Expense & Financial Management: Track and process travel expenses, reimbursements, credits, and financial reconciliations through internal systems. Manage invoicing, associated purchase requisitions and budget tracking as needed.
- Collaboration: Serve as an important liaison between executives, company partners, and external partners to facilitate workflow.
- Office & Facilities Support: Coordinate IT and Facilities requests, manage procurement processes, and ensure smooth operational support.
- Exec Assistant community: Partner with the Global XO and EA SPORTS Executive Assistant community to coordinate coverage, support our in-office presence, and demonstrate indirect leadership for this team.
Qualifications & Skills:
- 5 years + experience as an Executive Assistant supporting C-suite or senior leadership in a matrixed or transformation environment.
- Calm under pressure with strong prioritization instincts. Rapid ability to adapt/flex in changing environments.
- Organized, attentive to detail, strong problem-solving skills, and proactive mindset without losing sight of larger goal.
- Able to quickly build and maintain trust with leadership, partners, and peers.
- Demonstrated experience preparing leaders for high-visibility external engagements.
- Exceptional written and verbal communications skills.
- Impeccable discretion and judgment. Ability to maintain complete confidentiality.
- Experience managing travel logistics and processing expense reports.
- Experience driving events and fostering a team environment.
- Advanced in Microsoft Office, Google Suite, and familiarity with tools like Oracle and expense management systems.
- Knowledge of procurement and office management processes.
