The Executive Assistant provides high-level administrative support to the Managing Director, ensuring efficient operation and effective communication within AVL Korea Co., Ltd.

This role requires a proactive, detail-oriented individual with excellent organisational and multitasking skills.

Responsibilities:

  • Manage the executive's calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Serve as the primary point of contact between the executive and internal/external stakeholders.
  • Handle incoming calls, emails, and other communications with professionalism and discretion.
  • Organise and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
  • Ensure all necessary materials are available and distributed in advance.
  • Assist with special projects, research, and data analysis as needed.
  • Track project progress and ensure deadlines are met.
  • Oversee office supplies and equipment, ensuring the executive's workspace is well-organised and functional.
  • Coordinate with other departments to address any office-related issues.
  • Plan and execute company events, conferences, and other functions.
  • Handle logistics, vendor coordination, and attendee communication.
  • Monitor and reconcile the executive's expenses, ensuring compliance with company policies.
  • Prepare expense reports and manage budget tracking.
  • Issue invitation letters under the company's name for short-term visits to South Korea by employees from the headquarters or affiliates.

Requirements:

  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 3-5 years of experience in an executive support role, preferably in a corporate environment.
  • Excellent written and verbal communication skills.
  • Strong organisational and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle multiple tasks simultaneously.
  • High level of professionalism and discretion.
  • Strong problem-solving skills and attention to detail.
