Description
As a Documentation Control Specialist at xAI, you will manage and maintain the integrity of all technical documentation across our data centre construction, engineering, and operations projects. You will implement and oversee document control processes that ensure accuracy, traceability, version control, and compliance with internal standards and industry regulations. Working closely with engineering, construction, project management, and quality teams, you will play a key role in enabling fast, organised, and error-free execution of xAI's ambitious infrastructure buildout.
Responsibilities:
- Establish, maintain, and improve document control systems and procedures for engineering drawings, specifications, change orders, and project documentation
- Manage document lifecycle including review, approval, distribution, and archiving
- Ensure proper version control and maintain audit-ready records
- Support the transition and integration of documents into digital systems (e.g., BIM 360, Procore, SharePoint, or custom tools)
- Collaborate with CAD Designers, Engineers, and Project Managers to streamline documentation workflows
- Conduct regular audits to verify compliance with document control standards
- Train team members on documentation processes and best practices
- Generate reports and metrics on document status and workflow efficiency
Basic Qualifications:
- 3+ years of experience in Document Control, preferably in construction, data centres, manufacturing, or engineering environments
- Strong knowledge of document management systems and best practices
- Excellent organisational skills with high attention to detail
- Proficiency with Microsoft Office, SharePoint, and common document control platforms
Preferred Skills and Experience:
- Experience with Procore, BIM 360, Autodesk Construction Cloud, or similar tools
- Background in data centre, industrial, or mission-critical facility projects
- Familiarity with engineering documentation standards (e.g., ISO 9001, document numbering systems)
- Experience supporting fast-paced, high-growth technology or construction environments
- Associate or Bachelor's degree in Business Administration, Engineering Technology, or related field
Additional Requirements:
- Ability to work onsite in Memphis, TN / Southaven, MS area
- Strong communication and interpersonal skills
- Comfortable working in a dynamic, rapidly scaling organisation with evolving processes
