You're the engine behind a smooth hiring process , keeping our ATS organised, our data clean, and our candidate pipeline flowing so recruiters can focus on what matters most: the people.
You'll sit at the core of our Talent Acquisition operations, owning the systems and processes that keep hiring on track. This is a hands-on, detail-oriented role where your work has immediate impact , a well-configured workflow, a clean report, or a timely update can make the difference between a great candidate experience and a missed hire.
You'll work closely with Talent Acquisition and hiring managers to maintain our ATS, manage candidate data, and support a consistent, efficient hiring process from first application to offer.
Responsibilities
- Own day-to-day ATS administration , maintaining job requisitions, workflows, to keep the platform running smoothly.
- Support recruiters with candidate pipeline management, ensuring accurate and up-to-date candidate records and stage updates.
- Generate and distribute regular recruiting reports and dashboards , tracking pipeline health, time-to-fill, source effectiveness, and other key TA metrics.
- Collaborate with the TA and Communication teams to ensure seamless, on-brand candidate and employee experiences throughout the hiring process.
- Coordinate interview scheduling logistics , managing calendars, sending communications, and ensuring a smooth experience for candidates and interviewers alike.
- Support workflows within the ATS, including pre-hire data management and ensuring accurate and timely handover of candidate information upon hire
- Identify and flag process inefficiencies, recommending improvements to ATS configuration or recruiting workflows based on real data.
- Maintain documentation of ATS processes, user guides, and best practices to support team consistency and onboarding.
- Back-up support for TA documentation processes, including the preparation, review, organisation, and maintenance of candidate and hiring-related documentation , new
- Support job posting and visibility across various platforms, contributing to employer branding initiatives.
- Provide operational support for recruitment events such as job fairs, meetups, Lift-Offs, Student Events or Career Starter Programs
Qualifications
- 2–4 years of experience in a TA operations, HR coordination, or ATS administration role, ideally in a consulting or tech environment.
- Hands-on experience with at least one ATS platform
- Strong attention to detail: you take data integrity seriously and catch things others miss.
- Comfortable with reporting and analytics; you can build a clean dashboard and tell a coherent story from a spreadsheet.
- A collaborative, service-oriented mindset , you see Talent Acquisition specialists and hiring managers as your internal clients and go out of your way to unblock them.
- Fluency in English;
- A 'keep it moving' mentality: you don't wait for perfect conditions to ship a fix, you iterate and improve.
