Description

As a Senior Fleet Specialist at Red Bull Japan, you will lead the end-to-end management of the company's fleet category in indirect procurement, acting as a trusted internal point of contact for all vehicle-related matters. Your responsibilities will include coordinating vehicle delivery and return, managing vendors, maintaining pool vehicles, data maintenance, traffic violation handling, and invoice verification, among others. You will also promote fleet process optimisation, ensure cost efficiency and compliance, drive safety initiatives, support budget planning, and monitor and report on budget.

Key Responsibilities:

  • Manage the company's fleet category in indirect procurement, including leased vehicles and company-owned vehicles.
  • Ensure optimal fleet utilisation, cost efficiency, compliance with regulations, and driver safety by setting up a framework and acting as a central point of contact for employees, external service providers, and internal stakeholders.
  • Oversee daily operations, support strategic issues such as total cost of ownership optimisation, sustainability (transition to EV/HEV), vehicle regulations, process improvement, and continuous improvement of the driver experience.

Operation Management:

  • Manage the entire lifecycle of the category, including supplier selection, planning (replacement plans, contract renewal plans, new orders as applicable), monitoring (supplier performance, usage, budget), and administrative tasks (contracts, orders, invoicing, reporting).
  • Maintain accurate master data for the managed category and update it in a timely manner.
  • Streamline business processes and ensure smooth operation.

Vendor and Partner Management:

  • Manage relationships with external service providers and key stakeholders.
  • Lead regular governance arrangements with outsourced service management partners, conducting monthly review meetings and formatted reports.
  • Lead negotiation and contract processes.

Registration, Compliance, and Document Management:

  • Ensure all necessary registrations and records are managed (both physical and digital data) in accordance with requirements, confirming compliance with local regulations and laws.
  • Manage and oversee registration and record management processes to ensure smooth process completion.

Budget and Stakeholder Communication:

  • Provide accurate and comprehensive expenditure/user data for the managed category.
  • Support the annual CAPEX cycle and monitor monthly OPEX budget performance, identifying discrepancies and proposing corrective measures.
  • Analyse data to negotiate with suppliers and propose business cases for cost optimisation.
  • Lead internal and external communication, including onboarding, auditing, and training of new employees.

Reporting:

  • Execute necessary reports in a timely and accurate manner, including those required by government, regulatory bodies, and internal requests.
  • Support the global procurement team, global sustainability team, and local finance team.

Requirements:

  • 3-5 years of experience in fleet management, vehicle operation, or a related field
  • Knowledge of Japanese road traffic law and safety regulations
  • Practical experience in vendor management and contract negotiation
  • Excellent communication skills and customer focus
  • Ability to manage multiple tasks simultaneously
  • Native Japanese, intermediate English
  • Experience with Microsoft Office

Preferred qualifications: experience with telecommunication platforms, process automation tools (e.g., Power Automate, RPA), and analysis tools (e.g., Power BI, SAC)
