Description

We are seeking an HR Payroll Support Officer to join our team in Brussels. The successful candidate will provide administrative and operational support to the Payroll team, ensuring the accuracy and completeness of payroll data, smooth information flow, compliance with legal and internal regulations, and rigorous tracking of HR indicators.

Key Responsibilities

  1. Administrative and Operational Support
  • Prepare, verify, and update data necessary for payroll processing (changes in personal details, contractual data, absences, benefits, bonuses, etc.)
  • Ensure timely and accurate delivery of variable payroll components, in accordance with internal procedures
  • Support the Payroll team in monthly reviews of pre-calculations and final validation of payroll files
  • Track corrections and payroll discrepancies in collaboration with HR Business Partners and managers
  • Maintain up-to-date Excel spreadsheets and internal tools (headcount, absences, salary costs, budget, etc.)
  1. Coordination and Communication
  • Collaborate with HR Business Partners, HR Administration, and Finance to ensure consistency of HR and payroll data
  • Serve as a point of contact for internal queries related to payroll (excluding calculations)
  • Contribute to clear and proactive communication with employees regarding changes or evolutions in payroll processes
  • Participate in Payroll team coordination meetings and ensure administrative preparation and follow-up (agenda, minutes, actions)
  1. Reporting, Tracking, and Continuous Improvement
  • Contribute to the consolidation of monthly data and preparation of HR indicators (Payroll KPIs, headcount, costs, etc.)
  • Contribute to the continuous improvement of payroll processes and information flows (digitalization, simplification, automation)
  • Maintain up-to-date internal documentation (procedures, checklists, templates) in collaboration with the Payroll Manager BE/NL
  • Participate in cross-functional HR and payroll optimization projects within the People department
  1. Flexibility and Transversal Support
  • Provide ad-hoc support to the Administration team during peak periods or replacements (document management, absence tracking, archiving, etc.)
  • Collaborate closely with HR Operations colleagues to ensure continuity of HR services
  • Participate in joint initiatives to strengthen collaboration between Payroll and Administration
  1. Administrative Backup
  • Serve as backup for the Payroll Manager BE/NL for certain administrative tasks (POs, supplier invoices, communication with Finance)
  • Ensure the reliability and archiving of HR documents related to payroll in internal tools and the HRIS

Requirements

  • At least 2 years of experience in a similar role (HR Operations, Payroll, or HR Administration)
  • Fluency in French and intermediate level in English and Dutch
  • Excellent proficiency in Microsoft Office (Excel, Word, PowerPoint)
  • Recognized for your ability to work in a team and adapt to changing priorities
