As a Facilities Analyst, you will be responsible for ensuring the smooth operation of the office, making sure that the environments are always organised, safe and functioning according to Red Bull standards. Your day-to-day activities will involve managing suppliers, monitoring maintenance, controlling payments and supporting administrative operations, acting as an important point of contact between partners and internal areas.
Responsibilities
- Office Operation Management:
- Ensure the functioning of the office infrastructure, monitoring building maintenance, cleaning, canteen, reception and other Facilities services.
- Identify needs, prioritise demands and monitor the execution of services with suppliers, guaranteeing quality and compliance with deadlines.
- Act in resolving operational problems on a daily basis, ensuring the continuity of office activities.
- Supplier Management:
- Monitor Facilities service suppliers, ensuring that activities are carried out according to established standards.
- Maintain a close relationship with partners and internal areas to ensure a high level of service.
- Support negotiations of services and monitor quality and cost indicators.
- Administrative and Financial Control:
- Make purchase requests, monitor orders and support the supplier payment process.
- Control contracts, purchase orders (PO), requisitions (PR) and other administrative processes related to the area.
- Support expense control, preparing analyses and surveys to identify opportunities for cost optimisation.
- Data Management and Reports:
- Consolidate information, prepare controls and reports using Excel and PowerPoint.
- Manage processes such as corporate travel control (Uber), fleet payments and other administrative routines of the area.
- Support analyses that contribute to decision-making and continuous improvement of operations.
Requirements
- Completed higher education in Administration, Engineering, Logistics or related areas.
- Previous experience in administrative routines, Facilities or supplier management.
- Knowledge of purchasing and payment processes (PO, PR and invoices).
- Knowledge of SAP will be considered a differential.
- Intermediate Excel and PowerPoint skills.
- Good communication and ease of relationship with different areas and suppliers.
- Organised, proactive profile, with a sense of priority and ability to act autonomously.
- Availability for 100% on-site work in São Paulo.
