Executive Assistant

The Executive Assistant provides high-level administrative support to the Managing Director, ensuring efficient operation and effective communication within AVL Korea Co., Ltd.

This role requires a proactive, detail-oriented individual with excellent organisational and multitasking skills.

Your Responsibilities:

  • Administrative Support: Manage the executive's calendar, schedule meetings, and coordinate travel arrangements. Prepare and edit correspondence, reports, and presentations.
  • Communication: Serve as the primary point of contact between the executive and internal/external stakeholders. Handle incoming calls, emails, and other communications with professionalism and discretion.
  • Meeting Coordination: Organise and prepare for meetings, including drafting agendas, taking minutes, and following up on action items. Ensure all necessary materials are available and distributed in advance.
  • Project Management: Assist with special projects, research, and data analysis as needed. Track project progress and ensure deadlines are met.
  • Office Management: Oversee office supplies and equipment, ensuring the executive's workspace is well-organised and functional. Coordinate with other departments to address any office-related issues.
  • Event Planning: Plan and execute company events, conferences, and other functions. Handle logistics, vendor coordination, and attendee communication.
  • Expense Management: Monitor and reconcile the executive's expenses, ensuring compliance with company policies. Prepare expense reports and manage budget tracking.
  • Invitation Letter Issuance: Responsible for handling the process of issuing invitation letter under the company’s name for short-term visits to South Korea by employees from the headquarters or affiliates, after receiving the necessary information for the visa request.
  • Decision proximity: Experience supporting and preparing management decisions
  • Confidentiality: Maintain the highest level of confidentiality regarding sensitive information and business matters.

Your Profile:

  • Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Experience: Minimum of 3-5 years of experience in an executive support role, preferably in a corporate environment.
  • Skills:
  1. Excellent written and verbal communication skills.
  1. Strong organisational and time management abilities.
  1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  1. Ability to work independently and handle multiple tasks simultaneously.
  1. High level of professionalism and discretion.
  1. Strong problem-solving skills and attention to detail.
