Description
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our VP Legal in optimizing time, protecting bandwidth, and ensuring seamless operations.
This role requires exceptional communication, discretion, and the ability to anticipate needs in a fast-paced, global environment. The VP Legal operates across multiple time zones and engages with internal/external stakeholders, requiring meticulous coordination and strategic support.
Responsibilities: Time Optimization & Focus Protection
- Filter, prioritize, and prepare materials to protect the VP Legal’s focus on high-value tasks and strategic initiatives.
- Act as a gatekeeper for meetings, ensuring relevance and alignment with priorities.
- Optimize schedules to balance execution, planning, and reflection time.
Decision-Making Support
- Clarify urgent matters, highlight key decisions, and ensure the VP Legal is briefed and ready to act.
- Prepare concise briefings, agendas, and follow-ups for meetings to drive efficiency.
Meeting & Preparation Support
- Ensure meeting agendas are clear, relevant, and action-oriented.
- Confirm the VP Legal’s participation is essential and content is decision-ready.
- Structure “work alone” sessions to maximize productivity and strategic thinking.
Team & Governance Coordination
- Define and implement governance frameworks for the legal team.
- Prepare and lead team meetings, all-hands, and offsites, ensuring alignment and cohesion.
- Establish rituals to maintain information flow and team collaboration, especially as the team scales.
Confidentiality & Professionalism
- Handle sensitive legal and business information with the utmost discretion.
- Represent the VP Legal’s office with professionalism, rigor, and a solutions-driven mindset.
Who You Are
- Proven experience as an Executive Assistant supporting legal, compliance, or C-suite leaders (VP Legal/General Counsel preferred).
- Exceptional communication skills in English (mandatory); proficiency in French is a plus.
- Highly organized, detail-oriented, and able to anticipate needs in a dynamic environment.
- Comfortable managing shifting priorities and navigating ambiguity with grace.
- Strong mastery of Google Suite/Microsoft Office; experience with productivity tools (Notion, Slack, CRM) is a plus.
- Proactive problem solver with a positive, can-do attitude and a focus on ownership.
