The successful candidate will be expected to take ownership of day-to-day delivery, support the development of team capability, ensure strong control standards are maintained, and act as an escalation point for operational issues.

Key Responsibilities

Admissions Delivery

  • Support the Admissions Manager in the day-to-day running of the Admissions function, ensuring applications are processed accurately and in line with market, regulatory and client deadlines.
  • Act as a subject matter expert on Admissions processes, supporting internal stakeholders and external clients throughout the admission lifecycle.
  • Maintain oversight of admission pipelines, identifying risks, issues and bottlenecks, and driving timely resolution to ensure delivery against market deadlines and service expectations.
  • Liaise with issuers, advisers, NOMADs and other market participants to facilitate the efficient progression of applications and resolution of queries.
  • Ensure Admissions activity is supported by appropriate controls, governance and documentation, escalating exceptions and risks where required.
  • Act as a key operational contact for Admissions activity, providing guidance, support and leadership to colleagues across the team.

Team Leadership & Management

  • Coach and develop team members, building capability, resilience and subject matter expertise.
  • Support resource planning, workload management and knowledge sharing to ensure effective team coverage.
  • Promote a culture of accountability, collaboration, continuous improvement and operational excellence.
  • Depending on the final operating model, the role may also include people management responsibilities for Manila-based colleagues outside of Admissions, focused on coaching, development and performance management rather than day-to-day operational oversight.

Controls, Risk & Continuous Improvement

  • Maintain a strong controls environment, ensuring procedures are followed and risks are identified and managed appropriately.
  • Drive process improvements, automation opportunities and efficiency initiatives across the Admissions function.
  • Investigate operational issues and implement corrective actions to improve service quality and reduce repeat occurrences.
  • Support regulatory, system and business change initiatives, ensuring operational readiness and effective implementation.

Stakeholder Management & Change Delivery

  • Build strong relationships with internal and external stakeholders, acting as a key escalation point for Admissions-related activity.
  • Partner with Technology, Product, Compliance and Operations teams to deliver business and regulatory change.
  • Support system enhancements, testing activities and process improvement initiatives, including Salesforce and future-state Admissions processes.
  • Represent the team in projects, working groups and stakeholder forums where appropriate.

Candidate Profile and Key Skills

  • Strong experience within a financial markets, operations, admissions, reference data or client service environment.
  • Solid understanding of capital markets, equities trading environments, admissions processes or related market operations activities.
  • Demonstrated leadership capability, with experience coaching, mentoring, coordinating or developing colleagues within a team environment.
  • Strong organisational skills, with the ability to prioritise competing demands, make informed decisions and maintain oversight across multiple workstreams.
  • Ability to lead by example, promote accountability, and foster a positive and collaborative team culture.
  • Strong stakeholder management and communication skills, with the confidence to engage effectively with colleagues at all levels across Operations, Technology, Product and Compliance teams.
  • Capable of acting as a key escalation point, exercising sound judgement and taking ownership of issues through to resolution.
  • Strong accuracy, attention to detail and ability to perform effectively under pressure whilst maintaining high standards of operational control.
  • Good awareness of regulatory requirements and their impact on admissions, market operations and reference data processes.
  • Experience leading or contributing to process improvement, automation, system change, UAT or operational readiness initiatives.
