Keywords Studios Montreal is seeking a Receptionist to join our Facilities Team.
As part of Facilities Services, the Receptionist role performs an extensive array of administrative and clerical tasks related to front desk operations, assists the Workplace Manager with management duties of the site as needed and plays a crucial role in the organisation of the first impression.
Daily tasks include:
- Ensuring proactive customer service and timely processing of all Facilities Support requests;
- Receiving and dispatching incoming mail to the appropriate departments;
- Promptly answering and handling all phone calls and messages (external/internal) in a professional manner;
- Coordinating with the IT department to communicate and coordinate equipment deliveries for our work-from-home employees as well as any national or international shipments between our studios from the Montreal office;
- Managing inventory for facility needs;
- Promptly greeting and assisting all visitors and employees with a professional, positive, and enthusiastic attitude;
- Preparing and modifying documents including correspondence;
- Ensuring front desk tidiness and availability of all necessary office stationery;
- Assisting the Workplace Manager in the management of studio security by following safety and security procedures;
- Assisting in completing expense reports;
- Coordinating meeting room bookings and other tasks related to these bookings (guest check-in, F&B requests, etc.);
- Assisting the Workplace Manager with various projects or tasks as needed.
Requirements:
- Minimum of one year of experience in customer service or an administrative role;
- Post-secondary education preferred;
- Fully bilingual, French/English speaking and writing;
- Ability to prioritise and manage multiple assignments;
- Excellent communication and interpersonal skills to deal effectively with a variety of environments, people, and needs;
- A friendly team player, professional, easily accessible, with an approachable demeanour;
- Strong administrative, problem-solving, and organisational skills;
- Self-direction and the ability to work unsupervised;
- Ability to learn new software systems;
- Intermediate knowledge of Google Workspace Suite and applications;
- First aid responder course is desirable.
