We are seeking an organised, dependable, and proactive Billing Coordinator for a 6-month temporary role. As a Billing Coordinator at Electronic Arts, you will be based in our Creative Studio and report directly to the Director of Global Events, while receiving day-to-day operational guidance and mentorship from our Billing Manager.
You will drive day-to-day billing and purchasing operations across key marketing and communication disciplines. Your responsibilities will include:
- Creating and processing daily purchase order (PO) requests using Oracle
- Setting up vendors in EA's financial tools such as Tap Tool
- Reviewing incoming invoices, matching them to corresponding open POs, and submitting them to Accounts Payable (A/P) for timely processing
- Maintaining internal PO and invoice trackers daily with accurate, up-to-date payment status, account coding, and documentation
- Partnering with the Billing Manager to conduct weekly audits of PO trackers to catch missing details or pending approvals early
- Proactively following up with project managers and business owners on un-invoiced open POs to maintain budget accuracy
- Taking ownership of billing discrepancies, working directly with Purchasing, A/P, and vendors to resolve payment holds or invoice mismatches with minimal supervision
- Serving as the dedicated billing point of contact for supported teams, responding promptly and professionally to vendor and internal payment inquiries
- Ensuring all billing activities meet month-end and fiscal year-end deadlines in full adherence to EA payment policies
- Building strong, collaborative relationships across teams and proactively suggesting workflow improvements and updates to team documentation
The ideal candidate will have:
- 2+ years of experience in billing, accounts payable, or operational purchasing support, managing a steady, high volume of POs, invoices, and vendor setups
- Hands-on experience with financial and purchasing systems (such as Oracle, Salesforce) and proficiency with Excel/Google Sheets for tracking, filtering, and organising financial data
- Proven ability to take ownership of tasks, investigate discrepancies with Purchasing or A/P, and resolve billing issues independently with minimal supervision
- Exceptional organisational skills with the ability to track contracts, paperwork, and approval workflows across multiple teams simultaneously without missing deadlines
- Excellent written and verbal communication skills, a customer-service mindset, and a demonstrated ability to build strong relationships across diverse teams
- Quick learner who embraces feedback, adapts well to changing priorities, and actively speaks up with ideas to improve processes
