Description

The Traffic & Workflow Lead is responsible for driving the planning and delivery discipline that enables SEEK's in-house creative agency to deliver high-quality creative and content at scale across APAC.

Acting as a senior connection point between Creative, Marketing and business stakeholders, this role reviews the briefs that come into the in-house agency to ensure they are high quality and allocates them to relevant resources in the creative team.

With a bird's-eye view across the agency, the Traffic Operations and Workflow Lead provides visibility of capacity, workflows, resourcing and scheduling across multiple concurrent projects and campaigns.

The role ensures creative and video production teams are set up to deliver efficiently, on time and at scale, while balancing business priorities with team capability and capacity.

Working closely with Creative Services, Video Production, Creative Operations and external agency partners, the role leads operational planning for major campaigns and multi-market activity, ensuring teams have the structure, tools and support to deliver efficiently.

The role proactively identifies bottlenecks, delivery risks, improves workflow efficiency and enables creatives to spend more time focused on creative thinking and craft, not administration.

This role plays a critical part in connecting strategy to execution, enabling creative teams to focus on high-value work while ensuring the agency is commercially responsible, operationally connected and continuously improving.

Responsibilities:

  • Lead and continuously improve the creative operations framework, ensuring clear governance, prioritisation, planning and delivery practices across APAC.
  • Set standards for intake, briefing, workflow, traffic management, capacity planning and delivery readiness across Creative and Marketing teams.
  • Ensure work flows efficiently through the in-house agency, with clear prioritisation, realistic timelines and proactive management of workflow risks and bottlenecks.
  • Maintain visibility of all work in progress across Creative Services and Video Production, ensuring stakeholders and teams are aligned on priorities, timelines and delivery expectations.
  • Manage workflow, traffic and scheduling across multiple concurrent projects and campaigns, balancing business priorities with team capacity and delivery requirements.
  • Coordinate workflow planning and resource allocation across teams to support balanced workloads, efficient delivery and optimal team utilisation.
  • Identify scheduling conflicts, changing delivery requirements and workflow constraints early, and drive practical solutions that maintain delivery momentum.

Capacity Planning & Resource Allocation:

  • Lead quarterly, monthly and ongoing capacity planning by aligning business demand with team capability, capacity and delivery priorities.
  • Partner closely with marketing stakeholders, creatives, producers and the broader Creative Operations team to ensure work is appropriately scoped, prioritised and set up for successful delivery.
  • Establish effective capacity and resource planning practices across teams and markets, balancing demand, available capability, priorities and external support requirements.
  • Monitor utilisation and workload balance, escalating resourcing risks and recommending adjustments to sequencing, scope, timelines or external support.

Brief Intake, Workflow Quality & Delivery:

  • Lead training and capability uplift across marketing and non-marketing teams so incoming briefs are complete, clear, appropriately scoped and contain the information required before being accepted into the agency workflow.
  • Ensure briefs, timelines, dependencies, stakeholder communications, delivery risks and readiness are visible and actively managed through to completion.
  • Drive consistent workflow and traffic management practices that improve visibility, reduce friction and enable timely, high-quality output.
  • Contribute to the continuous improvement of workflow processes, operational discipline and ways of working to support scalable, high-quality creative delivery across APAC.

Performance, Reporting & Continuous Improvement:

  • Define and maintain reporting frameworks that provide clear visibility of agency performance, workload trends, delivery activity, capacity, team utilisation and operational effectiveness.
  • Provide regular reporting, insights and recommendations to leadership and stakeholders to support transparency and informed decision-making.
  • Use performance data and stakeholder feedback to identify opportunities to improve planning, communication, tooling, workflow and ways of working.
  • Lead the implementation of scalable processes, governance and tools that strengthen operational discipline and enable creative teams to focus on high-value work.

Success Measures:

  • A clear, scalable and consistently adopted creative operations model that supports business priorities across APAC.
  • Efficient and consistent movement of work through the in-house agency, from brief intake through to delivery.
  • High visibility of work in progress, priorities, timelines, delivery risks, team capacity and resource allocation.
  • Major campaigns and multi-market delivery activity are operationally well planned, with risks, dependencies, capacity and decisions visible early.
  • Effective balancing of workload and resource allocation across teams, with improved team utilisation and delivery readiness.
  • Reduction in workflow bottlenecks, scheduling conflicts, avoidable rework and delivery delays.
  • Clear and consistent reporting on Creative Services activity, operational performance, capacity, delivery trends and opportunities for improvement.
  • High-quality briefing and smooth onboarding of work into the agency workflow.
  • Positive feedback from both in-house agency teams and briefers regarding communication, visibility, prioritisation and delivery management.
  • Improved workflow efficiency, operational discipline, transparency and consistency across the in-house agency.
  • Strong collaboration and alignment across Creative Services, Video Production, Creative Operations, and marketing stakeholders.
  • A capable, engaged and continuously improving Creative Operations team that enables creative teams to focus on high-value work.
