This role provides administrative support to the Finance & Corporate Planning team. The successful candidate will be motivational, engaging, supportive, proactive, efficient, and capable of maintaining confidentiality.
Job Duties and Responsibilities:
- Provide direct administrative support to all financial coworkers.
- Schedule events, meetings, programs, and activities.
- Establish and maintain positive, collaborative relationships with team members.
- Assist leadership and Employee Engagement team in aligning the department's mission and goals.
- Foster a positive work environment that encourages camaraderie and collaboration.
- Help create engaging employee team buildings and wellness programs.
- Continually assess the needs and interests of all employees.
- Create team meetings and events flyers.
- Perform day-to-day administrative tasks such as maintaining information files and processing paperwork.
Key Responsibilities:
- Provide office assistance and support including scheduling meetings, processing expense reports, coordinating travel arrangements, and team buildings.
- Coordinate logistics for employee appreciation, training, events, meetings, programs, and activities.
- Ensure audio and visual systems are set up and ready for meetings.
- Welcome guests, set up meeting and events, order meals, and confirm attendees.
- Reserve meeting space on and off site.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Handle incoming calls, emails, and correspondence.
- Manage office supplies and ensure the department is well-equipped.
- Support the team with data entry, analysis, and reporting tasks as needed.
Job Requirements:
- High School diploma is required; Associate degree is required; Bachelor's degree preferred.
- Strong written, oral, and motivational communication.
- Proven ability to build rapport and work collaboratively.
- Organizing, planning, and prioritizing work.
- Proficiency in Microsoft Office Suite and familiarity with accounting software.
- Strong organizational and time-management skills.
- Attention to detail and accuracy in work.
- Ability to maintain confidentiality and handle sensitive information.
