Internal Fleet Coordinator

At Polestar, we believe that the transition to sustainable mobility is not just about the cars we build, but also about how we manage, deploy and optimise them.

We are currently looking for an experienced Internal Fleet Coordinator for Belgium & Luxembourg. In this key role, you will be responsible for the operational and strategic management of our internal fleet of approximately 150 vehicles, with an annual turnover of 3 to 4 replacement cycles.

Fleet & Car Park Management

• Manage a balanced car park structure (In Fleet, Active Fleet and Display Fleet).
• Oversee the deployment of demonstration, job and service vehicles in accordance with internal guidelines.
• Manage vehicle inflows and outflows based on age, mileage and business needs.
• Organise and monitor periodic fleet inventories.

Vehicle Lifecycle Management

• Coordinate end-to-end vehicle lifecycle.
• Manage administration, registration, insurance and documentation.
• Monitor vehicle statuses, maintenance, damage, recalls and fines.
• Proactively prevent operational disruptions and downtime.

Planning & Vehicle Availability

• Centralise planning of test vehicles, events, vehicle changes, maintenance and transport.
• Maximise vehicle availability and utilisation rates.
• Coordinate with internal stakeholders regarding fleet requirements.
• Coordinate transport and logistics movements.

Stakeholder & Compliance Management

• Monitor fleet processes and internal compliance.
• Act as central point of contact for internal departments and external suppliers.
• Ensure correct vehicle check-in and check-out procedures.
• Ensure compliance with contractual agreements and internal policies.

Supplier & Cost Management

• Manage and evaluate external partners and suppliers.
• Monitor SLAs, quality and invoicing.
• Continuously seek optimisations in terms of costs, efficiency and processes.

Your Profile

• At least 3 to 5 years’ experience in fleet management or automotive operations.
• Strong organisational skills and excellent process monitoring.
• Experience dealing with various stakeholders and suppliers.
• Proactive and take ownership.
• Good knowledge of Dutch and English. French is a strong asset.
• Strong analytical skills with an eye for detail and cost control.
