Description
As Renewals Manager, you'll own Everlaw's rolling pipeline of internal SaaS and IT contract renewals, making sure no agreement lapses into an unfavorable auto-renewal while driving cost savings through usage analysis and license right-sizing.
You'll partner closely with internal teams across Engineering, IT, HR, and Marketing, managing the day-to-day commercial lifecycle for expiring vendor contracts and building disciplined, data-backed renewal processes.
This is a full-time, non-exempt position based in our Oakland, CA office with a hybrid work schedule: in office M/W/Th with the option to work from home on Tu/Fr.
Responsibilities
- Maintain a rolling 12-month renewal calendar, initiating cycles 90–120 days prior to expiration to prevent unintended auto-renewals or contract lapses.
- Analyze utilization data alongside IT Asset Management to identify unused seats, over-provisioned tiers, and shelfware before setting negotiation targets.
- Negotiate in-scope software and IT renewals using established playbooks, benchmarks, and pre-approved fallback positions to limit uplifts and secure favorable terms.
- Coordinate cross-functional reviews across Legal, Security, IT, Compliance, and FP&A to confirm data privacy, security, and budget approvals prior to execution.
- Administer procurement software systems (specifically ZIP) and maintain accurate contract records, renewal dates, spend data, and savings metrics in the system of record.
Requirements
- At least 5 years of progressive procurement experience, ideally within a fast-growing technology or software environment.
- Experience managing end-to-end renewal pipelines and establishing or refining procurement functions across multi-location organizations.
- Strong data analysis skills and a track record of using usage metrics to build reduction cases and right-size software agreements.
- Effective communication across all organizational levels, building collaborative cross-functional relationships with Legal, Security, IT, and Finance teams.
- Process-oriented with high attention to detail, managing contract hygiene and critical notice windows across a high-volume portfolio.
- Authorized to work in the United States.
Nice to Have
- Experience working with e-procurement and SaaS management tools such as ZIP or Ironclad.
- Exposure to structured negotiation methodologies or formal negotiation training.
- Familiarity with SOC 2 compliance, data privacy review processes, or vendor security assessments.
- Experience supporting vendor consolidation or cost reduction initiatives.
