Description
We are seeking an experienced Executive Assistant to provide proactive administrative, operational, and organisational support to Global and North America Engineering leadership.
The successful candidate will serve as a highly engaged and self-directed partner to the leadership team, anticipating needs, coordinating activities across functions and geographies, and ensuring operational excellence in day-to-day business activities.
Key responsibilities include:
- Managing executive and leadership team calendars, meeting schedules, and travel arrangements
- Preparing agendas, presentations, meeting materials, minutes, and tracking action items to completion
- Coordinating Leadership Team meetings, face-to-face events, department meetings, and other team events
- Supporting onboarding, offboarding, recruiting coordination, and related employee communications
- Tracking deadlines, follow-ups, recurring deliverables, and leadership team commitments
- Facilitating project routing, approval workflows, documentation management, and shared information repositories
- Managing procurement activities, purchase orders, invoice processing, cost centre tracking, and budget reporting
- Coordinating vendor visits, guest support, facility's needs, team communications, and organisational records
The ideal candidate will possess:
- An associate's degree
- Strong initiative and ownership mindset
- Excellent communication skills
- Ability to manage multiple priorities and work independently
- International exposure and experience working across cultures and time zones
- Proficiency in Microsoft 365 applications
Preferred qualifications include:
- Associate's degree with 6 years of relevant experience or a bachelor's degree with 4 years of relevant experience
In return for your hard work, you can expect a salary between $64,080 and $96,120 per year, depending on location and experience. Additional benefits include healthcare, vision, dental, retirement, PTO, and sick leave.
