## Description

We are seeking an experienced Administrative Assistant to provide comprehensive support for an Executive Director and their team within the Connected Vehicle Software organization. As an Administrative Assistant, you will be responsible for handling confidential business-related data, managing calendars, inboxes, and travel details, and ensuring the executive's preparedness for meetings and engagements.

Key responsibilities include:

- Partnering closely with the executive to streamline their day, ensuring efficient and effective time management while keeping big-picture goals moving forward.

- Owning the calendar, inbox, and travel details, anticipating needs before they arise and clearing roadblocks before they happen.

- Ensuring the executive's preparedness for meetings and engagements by securing required materials, inviting key attendees, and ensuring sufficient preparation time.

- Assisting with events such as staff meetings, all-hands meetings, off-sites, team gatherings, etc., overseeing all calendaring, communication, technology, logistics, and related follow-up activities.

- Optimizing travel arrangements based on the executive's travel needs and preferences.

- Managing expenses, ensuring timely processing and alignment with key policies.

- Keeping the team connected and aligned, from organizing key meetings to ensuring follow-ups don't fall through the cracks.

- Jumping into special projects with curiosity and confidence,bringing clarity, coordination, and a can-do attitude to whatever comes your way.

Requirements include:

- 3+ years of experience as an executive assistant or project manager.

- 3+ years of Microsoft software experience (e.g., Outlook, SharePoint, OneDrive, PowerPoint, Word, Excel, and other related programs).

- Prior experience as an Executive Assistant.

- Excellent organizational skills, time management skills, and attention to detail, to include anticipating needs and being proactive.

- Excellent writing, editing, and proofreading skills.

- Displays high degree of professionalism in order to maintain confidential information, deal with people tactfully, and help establish strong relationships and positive communication.

Preferred qualifications include:

- Bachelor's degree or professional associate's degree.

- Responsive, self-starter; takes initiative in resolving issues or concerns.

- Works well independently with minimal supervision.

- Learns new software systems and products/cloud tools with ease.

- Ability to work collegially and collaboratively within a team environment in an open-concept office area.

- Comfortable interacting with all levels of the organization, from executive leadership to individual contributors.

- Ability to plan, prioritize, and support multiple assignments simultaneously.

- Experience working on multiple projects simultaneously while meeting deadlines with changing priorities.

- Proactively assesses risk and resolves issues prior to them becoming problems for the larger teams.

- Committed to providing seamless support across time zones.
