## Description

The HR Services Manager is responsible for running the operations of the HR office, ensuring team welfare, and assisting the HRM with day-to-day tasks.

## Key Responsibilities

### General Responsibilities

The HR Services Manager maintains visibility with team members, implements new HR policies, supervises the HR coordinator, and supports administration-related tasks.

- Maintains an approachable demeanor and visibility with team members.

- Implements new HR policies, company initiatives, and internal/external HR requirements.

- Supervises, directs, and trains the HR coordinator as necessary.

- Supports administration-related tasks for team members.

- Interprets and advises team members on shipboard policies/procedures and benefits.

- Oversees the orderly and accurate filing of team member documentation.

- Maintains crew notice boards related to HR office information.

- Ensures contract extensions, rotations, and addendums are provided and signed as required.

- Audits contract extensions, rotations, and addendums as necessary.

- Assists in port or authority inspections and conducts onboard HR audits.

- Works closely with GEPD leads and planning teams to ensure accurate implementation and management of onboard complement.

- Reports variances or shortages/concerns with manning lists immediately.

- Prepares crew lists, on/off reports, and other associated reports.

- Maintains computerized crew data in Fidelio systems.

- Manages crew berthing, cabin assignments, and disputes.

- Responsible for Ving Card system, team member ID cards, and respective tasks.

- Produces required reports and is responsible for appraisal process and rating card management.

- Assists in DRP and performance management processes.

### Embarkation and Disembarkation

The HR Services Manager is responsible for joiners and leavers, monitoring flights, and managing crew check-in.

- Responsible for joiners and leavers and related tasks.

- Monitors flights and liaises with the travel team regarding issues.

- Manages crew check-in via MAPS and Fidelio.

- Implements the embarkation process and supports preparation and checking of onboarding documentation.

- Maintains oversight of Employee Orientation Program (EOP) cards process and completion.

- Assists and coordinates disembarkation tasks.

### Employee Relations

The HR Services Manager advises on employee relations matters, oversees paperwork for unexpected leavers, and assists on ER matters.

- Advises HRD/M on employee relations matters.

- Oversees and prepares paperwork for unexpected leavers.

- Assists on ER matters as instructed by HRM.

### Team Wellbeing and Welfare

The HR Services Manager attends CRC meetings, oversees HR coordinator duties, and plans crew events.

- Attends CRC meetings and shipboard team welfare meetings.

- Oversees HR coordinator duties and sets up and implements events.

- Plans and executes crew events and solicits feedback from departments.

- Oversees and forecasts budgets for crew welfare fund spend.

- Maintains the CRC budget.

- Ensures Crew TV and/or Crew Information Boards are kept up to date.

- Ensures relevant shoreside information is communicated to onboard team.

- Ensures Crew Assistance Program (CAP) services awareness and implementation.

- Communicates availability of religious services and Sailors Society for crew wellbeing.

The HR Services Manager complies with fleet regulations, works in compliance with MLC 2006 guidelines, and performs General Emergency Organization duties.

- Follows Global HESS regulations and guidance.

- Performs General Emergency Organization duties as directed.

## Skills, Knowledge & Expertise

- Minimum 2 years' experience in HR positions showing progressive growth in responsibility.

- Prior shipboard experience preferable.

- Marlins score of 80 and above.

- Strong analytical and management skills.

- Commitment to follow established policies and procedures.

- Ability to work independently and objectively.

- Strong communication skills, including written and verbal English.

- Working knowledge of computers and software programs.
