## Executive Assistant

The Executive Assistant provides high-level administrative support to the Managing Director, ensuring efficient operation and effective communication within AVL Korea Co., Ltd.

This role requires a proactive, detail-oriented individual with excellent organisational and multitasking skills.

## Your Responsibilities:

- Administrative Support: Manage the executive's calendar, schedule meetings, and coordinate travel arrangements. Prepare and edit correspondence, reports, and presentations.

- Communication: Serve as the primary point of contact between the executive and internal/external stakeholders. Handle incoming calls, emails, and other communications with professionalism and discretion.

- Meeting Coordination: Organise and prepare for meetings, including drafting agendas, taking minutes, and following up on action items. Ensure all necessary materials are available and distributed in advance.

- Project Management: Assist with special projects, research, and data analysis as needed. Track project progress and ensure deadlines are met.

- Office Management: Oversee office supplies and equipment, ensuring the executive's workspace is well-organised and functional. Coordinate with other departments to address any office-related issues.

- Event Planning: Plan and execute company events, conferences, and other functions. Handle logistics, vendor coordination, and attendee communication.

- Expense Management: Monitor and reconcile the executive's expenses, ensuring compliance with company policies. Prepare expense reports and manage budget tracking.

- Invitation Letter Issuance: Responsible for handling the process of issuing invitation letter under the company’s name for short-term visits to South Korea by employees from the headquarters or affiliates, after receiving the necessary information for the visa request.

- Decision proximity: Experience supporting and preparing management decisions

- Confidentiality: Maintain the highest level of confidentiality regarding sensitive information and business matters.

## Your Profile:

- Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.

- Experience: Minimum of 3-5 years of experience in an executive support role, preferably in a corporate environment.

- Skills:

- Excellent written and verbal communication skills.

- Strong organisational and time management abilities.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

- Ability to work independently and handle multiple tasks simultaneously.

- High level of professionalism and discretion.

- Strong problem-solving skills and attention to detail.
