## Description

The Associate Registrar for Loans at the New York Public Library (NYPL) will oversee the Outgoing Loan Program from NYPL's research centers. The successful candidate will deploy registrarial expertise to fulfill loan requests from local, national, and international borrowers. They will work closely with Curatorial, Conservation, Exhibitions, and other staff, as well as external institutional partners and vendors.

Key responsibilities include:

- Managing administrative, logistical, and risk management activities for outgoing loans

- Maintaining excellent relationships with Library stakeholders, peer institutions, art logistics vendors, insurance providers, and fabricators

- Providing collaborative solutions to fulfilling loan requests and borrower preferences

- Advising internal and external partners about timelines required to meet borrowing institution's exhibition deadlines

- Learning and improving processes, including NYPL Procurement, Legal, and Risk Management processes

Within the first month, the Associate Registrar will become familiar with registrar work, the Library's current outgoing loans and requests, and establish working partnerships with relevant Research Libraries colleagues. Within three months, they will assume responsibility for outgoing loan projects, learn how to manage contracts and purchase orders, and prepare materials for Board approval. Within six months and beyond, they will begin to recommend improvements to workflows and fully manage the outgoing loan process.

Responsibilities include:

- Leading the loan review and approval process

- Reviewing potential borrowing institutions' facility reports and ensuring compliance with NYPL requirements

- Managing all loan negotiations and correspondence

- Organizing materials for review and approval by the Director and NYPL Board's Research Acquisitions and Loan Committee

- Issuing outgoing loan agreements and exhibition contracts

- Arranging for appropriate insurance coverage

- Preparing loan cost estimates and tracking revenue

- Making recommendations about object preparation and coordinating conservation treatment

- Creating condition reports and managing loan-related documentation

- Arranging for transport and making shipping, crating, and courier arrangements
